By registering, I confirm that I understand and accept the following:

Participation + plans

• I understand DesignScape is a facilitated group program, and I agree to participate in scheduled sessions and follow EPC’s guidelines.

• EPC may adjust timings, session formats, speakers, venue specifics, or logistics if needed for safety or operations.

• I understand there is no guaranteed outcome; any learning or benefits depend on individual participation.

• I am 18 years or older and have authority to accept these terms.

• I will follow safety instructions and venue rules.

Payments + cancellations

• My fee, inclusions, and payment schedule are as shared in my confirmation/invoice.

• Unless stated otherwise in writing, personal expenses, medical costs, and insurance are my responsibility.

• My seat is non-refundable once confirmed, because EPC commits costs for venue, logistics, and curation.

Group travel + punctuality

• If EPC provides group travel, I will arrive at the pickup point on time.

• If I miss the pickup, arrive late, leave early, or change plans, I may need to arrange alternate travel at my own cost. EPC is not responsible for related losses, missed sessions, or additional expenses.

Health + emergency consent

• I’m fit to travel and participate, and I’ll carry any required medication.

• I’m encouraged to inform EPC of critical allergies/medical risks that could matter in an emergency.

• In an emergency, I authorise EPC to seek medical help if I’m unable to consent at that moment. I understand medical costs are my responsibility.

Respect + safety + rules

• I will treat everyone (participants, EPC team, staff, drivers, venue team) with respect.

• Harassment, discrimination, intimidation, bullying, violence, or disruptive behaviour is not acceptable.

• Illegal drugs/substances are strictly not permitted (possession, use, distribution, or being under the influence).

• I will follow EPC/venue rules on alcohol, smoking, and vaping.

• EPC may remove a participant for safety or misconduct. If removed, my seat remains non-refundable and I may have to arrange return travel at my own cost.

Confidentiality (including my organisation’s NDAs)

• I will not share another participant’s private information, personal stories, or identifiable statements outside the retreat without their permission.

• I will not share any confidential or proprietary information from my organisation that could breach my employment terms, NDAs, client confidentiality, or internal policies.

EPC recording + publishing

• I understand that EPC will record conversations and sessions during DesignScape (audio/video).

• EPC may store, transcribe, summarise, edit, and process this content to build EPC’s knowledge repository.

• EPC may publish selected recordings or excerpts on EPC channels (e.g., website, social media, newsletters, podcasts, community archive).

• I understand EPC may edit for clarity/length/format, and no further approval is required before publishing.

Assumption of risk + EPC liability 

• I understand travel, offsite stays, and group activities involve risks (including illness, injury, allergic reactions, accidents, and unforeseeable events). I participate voluntarily.

• To the extent permitted by law, I agree EPC is not responsible for incidents arising from my participation, travel, venue conditions, third-party providers, or the actions of other participants.

• EPC is not responsible for loss/theft/damage of my personal belongings.

Third parties

EPC may use third-party vendors (transport, venue, service providers, transcription/editing tools) to run the retreat and process recordings.
